How to Backup Google Calendar Events

Google Calendar is currently used by over 2 million businesses across the globe for scheduling and planning day-to-day events. What happens when these events get deleted?

Google Calendar has a default retention period of 30 days. Which means, any event that is deleted will stay in the Trash folder for recovery only for 30-days, after which it will be permanently deleted.
Organizations can, however, take precautionary measures to make sure that there is a second copy of the calendar events that can be accessed in case of an accidental deletion or during Google Workspace outages.

Export Google Calendar events

Users can regularly export Google Calendar events and save a copy of this in their local device. This can be accessed during outages or imported back to Google Calendar in case of accidental deletions.
Follow the below steps to export events from all Google Calendars:

  • Step 1: Visit Google Calendar.

  • Step 2: Click the settings icon and select “Settings”.

  • Step 3: Import & Export on the left hand-side menu.

  • Step 4: Click “Import” under the “Import & Export” menu item.

  • Step 5: Navigate to the bottom of the page and click “Export”.

  • Step 6: Once the export is prepared, the events will be downloaded into local system as a .zip file in iCal format.

Follow the below steps to export events from an individual calendar:

  • Step 1: Visit Google Calendar.

  • Step 2: Navigate to settings page by clicking “Settings” under the settings icon.

  • Step 3: Choose the calendar that needs to be exported from the menu on the left-hand side.

  • Step 4: Click the “Export Calendar” button.

The events of the individual calendar will be exported as a zip file in iCal format.
Although Google Calendar enables users to export and import calendar events, it is not the most effective method to backup the calendar events since it requires the administrators/users to manually export the events regularly and keep a record of all the exported data to be accessed when needed.
